Overview:

Sheppard, Mullin, Richter & Hampton LLP, a global Am Law 50 firm, is seeking a diligent and motivated Professional Development & CLE Compliance Administrator to join our Talent Management team. 

This position can be based in any of the following U.S. offices: Century City, Downtown Los Angeles, Del Mar, San Diego, San Francisco, Silicon Valley, Dallas, Chicago, Houston, New York, or Washington DC. There is only one opening.

*This position may be either remote, with the expectation to be in the office on an as needed basis, or hybrid. The Firm’s current hybrid-working policy requires working in the office a minimum of 3 days per week and working from home the rest of the week (subject to change).

The Professional Development & CLE Compliance Assistant/Coordinator will work with the CLE Administrator and the Office of the General Counsel to administer continuing legal education and bar registration processes for all US-licensed attorneys. The Firm is a CLE provider in the jurisdictions where we have offices and tracks CLE compliance and bar registrations for those jurisdictions, presently California, Illinois, New York, and Texas. This position reports directly to the Attorney Professional Development Director.

Responsibilities:

MCLE for Lawyers in U.S. offices

- Maintains the database for tracking CLE compliance status of our attorneys; input CLE credit information for attorneys for internal and third-party courses
- Assists attorneys and practice assistants with using CE Manager
- Provides customer service to attorneys regarding MCLE compliance, deadlines, and obtaining CLE credits
- Primary responsibility for setting up first-year and lateral attorneys in CE Manager, PLI and West LegalEdcenter and removing attorneys upon departure from firm.

CLE Provider

- Primary responsibility for administration of internal courses offered to Sheppard Mullin attorneys
- Handles application process with state MCLE Board for individual course accreditation, attendance reporting, and related fees in all jurisdictions needed
- Maintains and manages the maintenance of course materials and attendance records as required by CLE rules
- Manages CLE administration of courses offered to external client audiences

State Bar Admission & Good Standing Status for U.S. Lawyers

- Maintain firm wide pro hac vice records and monitor state and court specific compliance
- Manages annual audit of good standing for U.S. attorneys for their home office
- Assist attorneys with state bar application and compliance matters
- Update CE Manager records for new state bar admission information including bar numbers, date admitted, etc.

General

- Assists legal skills training team as needed
- Develops local contacts with CLE professionals nationally
- Performs other duties as assigned or required to meet firm goals and objectives

Essential Functions of Job:

- Proactively support all CLE functions.
- Prepare CLE paperwork for both internal and external programs.
- Track CLE compliance in CE Manager database and answer general questions from attorneys about compliance.
- Comply with reporting requirements in CA, NY, IL and TX.
- Work collaboratively across the firm with other members of the Talent - Management Team, Business Development Department, Office of the General Counsel and other Firm Administrative Departments

Qualifications:

Required Qualifications: 

- 2+ years law firm or professional services firm administration experience required
- CLE administration experience required
- Strong written and verbal communication skills, able to communicate effectively and in a professional manner with all levels of the firm and outside vendors
- Ability to work in a diverse team environment and effectively support the demanding needs of the Firm
- Ability to work under pressure, meet deadlines with shifting priorities
- Must be a self-starter with a high level of initiative
- Strong customer service skills, able to anticipate needs
- Strong attention to detail, organizational skills and the ability to handle multiple projects
- Maintains confidentiality and exercises discretion
- Exercises solid strategic thinking and problem-solving skills

Preferred Qualifications: Library science or database administration experience a plus.

Education
Required: Bachelor’s Degree

Computer/Software Knowledge
Required:

- Strong computer skills, Microsoft Office Suite, web applications and database experience required
- Experience using CE Manager and state MCLE systems required
- General MCLE or CPE regulation required

Work Environment

- If Hybrid: The current Firm policy is hybrid–working in the office a minimum of 3 days per week and working from home the rest of the week (subject to change).
- If Remote: You will be based in one of our local Sheppard Mullin offices but will be allowed to work from home. You are required to come into the office on an as-needed basis.
- Occasional evening and weekend work may be required as job duties demand.

California: The salary range for this position is $65,000 to $80,000 per year.

New York: The pay range for this position is: $65,000 - $80,000 per year.  Please note that the foregoing compensation information is a good-faith assessment associated with this position only and is provided pursuant to the New York City Salary Transparency Law. 

Washington DC: The pay range for this position is: $65,000 - $80,000 per year. Medical, vision, and dental coverage is available, including coverage for dependents and domestic partners. Please note that the foregoing compensation and benefit information is a good-faith assessment associated with this position as of the time of this posting and is provided pursuant to the District of Columbia Wage Transparency Omnibus Amendment Act of 2023.
